Privacy Policy

This Privacy Policy describes how WeiLabs, Inc. ("WEI," "we," "us," or "our") collects, uses, and protects information in connection with the WEI platform and the website at getwei.app (together, the "Service"). The Service is provided to college athletic departments and their authorized coaching staff to communicate with prospective student-athletes ("recruits").

1. Who We Are

WeiLabs, Inc. operates WEI, a recruiting communications platform used by college coaching staffs to schedule and conduct video and audio calls with recruits, with AI-generated transcripts and summaries that preserve institutional recruiting knowledge. Our users include institutional staff (coaches, recruiting operations) and the recruits with whom they communicate through the Service.

2. Information We Collect

Account information

When a coach or staff member creates a WEI account, we collect their name, email address, institutional affiliation, role, and phone number. We may also collect login credentials and authentication identifiers.

Recruit information entered by coaching staff

Coaching staff enter recruit information into WEI as part of their normal recruiting workflow. This typically includes the recruit's name, phone number, email address, high school, position, graduation year, and notes the coaching staff records about the recruit. Recruits do not create their own WEI accounts; their information is managed by the institutional staff conducting recruiting.

Call recordings, transcripts, and summaries

When a coach uses WEI to conduct a video or audio call with a recruit, the Service records the audio and, for video calls, the video of the call. Recordings are processed to generate transcripts and AI-written summaries that are made available to authorized staff at the institution that conducted the call.

Communication logs

We collect metadata about messages and calls sent through the Service, including timestamps, participants, durations, and delivery status. SMS messages sent through the Service are logged for delivery and compliance purposes.

Device and usage information

When you use the Service, we automatically collect technical information including IP address, browser type, device type and identifiers, operating system, referring pages, pages viewed, and timestamps. This information is used for security, troubleshooting, and to operate the Service.

3. How We Use Information

We use the information we collect to:

  • Operate and provide the Service, including hosting calls, storing recordings, generating transcripts and summaries, and making them available to authorized institutional staff;
  • Send transactional SMS messages, including call invitations, on behalf of the coaching staff who initiates a call;
  • Authenticate users and protect the security and integrity of the Service;
  • Improve the Service, develop new features, and analyze how the Service is used;
  • Communicate with users about the Service, respond to inquiries, and provide support;
  • Comply with applicable law, including NCAA recruiting regulations and institutional recordkeeping obligations.

4. SMS Communications

WEI uses SMS messaging to facilitate communications between authorized college coaching staff and prospective student-athletes ("recruits"). When a coach using WEI initiates a video call invitation, an SMS containing a one-time link to join the call is sent to the recruit's phone number.

Phone numbers used in SMS communications are provided directly to the coaching staff by recruits, their families, or their high schools as part of the established recruiting relationship. WEI uses these numbers solely to send transactional messages related to coach-initiated video and audio calls. No mobile information is shared with third parties or affiliates for marketing or promotional purposes.

Recipients can opt out of SMS communications at any time by replying STOP to any message. Recipients can request help by replying HELP. Standard message and data rates may apply per the recipient's mobile carrier plan.

5. Third-Party Service Providers

We rely on third-party service providers to operate the Service. These providers process information on our behalf only to the extent needed to deliver their service, and are bound by their own privacy and security commitments. Categories of providers we work with include:

  • Cloud infrastructure and storage — for hosting our application, databases, and securely storing call recordings and account data.
  • Authentication services — for secure account login and access management.
  • Communications providers — for delivering SMS messages, voice calls, and video calls.
  • Transcription and speech analysis providers — for generating transcripts and structured summaries from call recordings.

We carefully select providers with established security practices and contractual data-protection commitments. We do not sell personal information, and we do not share mobile phone numbers or SMS opt-in data with third parties or affiliates for marketing or promotional purposes.

6. Data Retention

We retain account information for as long as the account is active, and for a reasonable period thereafter to meet our legal, operational, and recordkeeping obligations. Call recordings, transcripts, and summaries are retained for the duration of the institution's active relationship with WEI, and may be retained longer where the institution requires it for its own recruiting recordkeeping. Communication logs and technical logs are retained for security and operational purposes for a limited period and then deleted or aggregated. We delete or anonymize information that is no longer needed for the purposes for which it was collected.

7. Security

We use technical and organizational measures designed to protect the information we collect, including encryption of data in transit (TLS) and at rest, access controls limiting recording and transcript access to authorized institutional staff, and regular review of our infrastructure and access practices. No system is perfectly secure, and we cannot guarantee absolute security; we work to reduce risk and respond promptly if an incident occurs.

8. Minors and Children's Privacy

Recruits in college athletics recruiting are frequently minors (high school students). WEI processes the personal information of minors strictly in connection with the established recruiting relationship between an institution's coaching staff and the recruit (and the recruit's parents, guardians, or high school).

Phone numbers, email addresses, and other contact information of recruits who are minors are provided to coaching staff by the recruit, their parent or legal guardian, or their high school in the ordinary course of recruiting. By providing this information to a coaching staff that uses WEI, the recruit and (where applicable) their parent or legal guardian consent to its use for transactional recruiting communications through the Service.

WEI does not knowingly collect personal information directly from children under 13. The Service is operated by institutional staff, not by children, and recruits do not create their own accounts. If we learn that we have collected personal information directly from a child under 13 without appropriate consent, we will delete it.

Parents and legal guardians of minor recruits may contact us at founder@getwei.app to request access to, correction of, or deletion of a recruit's information.

9. Your Rights

Depending on where you live, you may have the right to access, correct, or delete personal information we hold about you, to object to or restrict certain processing, and to receive a copy of your information in a portable format. You may also have the right not to be discriminated against for exercising these rights.

For users associated with an institution (coaches, staff, recruits), much of the personal information processed through the Service is controlled by the institution. Requests from recruits or their parents or guardians may be directed to the institution they are recruited by, or sent to founder@getwei.app and we will work with the institution to respond.

10. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page reflects the most recent revision. If we make material changes, we will provide notice through the Service or by other reasonable means. Your continued use of the Service after the updated policy is posted constitutes your acceptance of the updated policy.
